Collegiate Shoot-Out Refund Policy
effective September 2021
- Notice of withdrawal by Entry Closing Date: Refund in Full
- Notice of withdrawal after Entry Closing Date, but more than 7 days prior to Tournament Starting Date: Refund in Full, unless:
- All spots in the Division (women's or men's/mixed, whichever is applicable) were filled.
- At least one team was placed on the waiting list after the division was filled.
- And we are unable to obtain a replacement entry to fill your spot due to the late withdrawal notice.
In this case: Forfeiture of 50% of Expense Fee
- Notice of withdrawal 7 days to 24 hours prior to Tournament Starting Date: Forfeiture of 75% of Expense Fee
- Notice of withdrawal less than 24 hours in advance: Forfeiture of 100% of Expense Fee
- Failure to show for tournament with no advance notice of withdrawal: Forfeiture of entire entry fee and inelgibilty to participate next year
Accomodation of extenuating situations due to injury will be give consideration by tournament management.
Reasons for This Policy
- We wish to avoid this sequence of events: (a) A division of the tournament fills. (b) A team goes on the waiting list. We ask that team what is the latest date we can notify them of an opening and they could still make it to the tournament. (c) That date passes with no opening and the team is dropped from the waiting list. (d) An entered team withdraws and we are unable to fill the opening. So, a team that should have been able to participate does not get to do so.
- We wish to avoid exessive "Blinds". Example: (a) We receive 21 women's teams' entries, so we use a 24-team schedule with 3 Blinds (Baker rounds are bowled across 4 lanes). (b) One team cancels too late for us to have time to redo the schedule. (c) So, instead of a 20-team schedule with no Blinds, we have a 24-team schedule with 4 Blinds. (Bowling on a lane by yourself is considerably less enjoyable than bowling someone!)
- Not as significant as the item above, but still a concern: We pride ourselves on a well-run tournament and believe that makes the tournament more enjoyable for the teams that DO show up. Late withdrawals make this more difficult to achieve.
